  2. Overview of processing activities by praatbox.be

    1. Information you provide to us
      When you use Praatbox and set up a chatroom, we process the name of your chatroom and the location that you fill in, combined with the three words you chose. We process this personal data to provide you with the chatroom service that you requested (contractual necessity as a lawful basis for processing).

    2. Automatic collection of data
      We automatically collect information when you visit our website using cookies and other types of technologies. A cookie is a small data file, that is stored on your computer or mobile device when you visit a website. Different types of cookies exist, depending on their origin (third party or not), function (necessary, functional, statistical or advertising) and/or lifetime.

    Praatbox and/or third parties (Google Analytics) processes the following cookies:

    • Data collection when you use the Jitsi videoconferencing solution

    Praatbox is a portal to access the chatroom at Meet.jit.si which runs on the following open source software in the background: Jitsi Videobridge and Jitsi Meet. Meet.jit.si is an application of the Jitsi.org open-source video meetings solution that 8x8 (8x8 Inc., with registered office at 675 Creekside Way, Campbell, CA 95008, United States, hereinafter “8x8”) hosts.


    8x8 processes the following personal data when you use the Meet.jit.si service:

    • Network and usage information, including IP addresses for the meeting participants;
    • The user specified URL used to host the meeting;
    • Information about the phone numbers that connect to the meeting (if audio connection is made via a telephone call);
    • Meeting related content, to enable user functionality (e.g. If you use the chat function, chat content is stored during the meeting; if you record a meeting, the recording of the meeting is temporarily stored until it is uploaded to your file hosting service (e.g. Dropbox); if you livestream your meeting, video content is temporarily stored to buffer the livestream.)
    • Name, email address, and link to a picture that you choose to display to participants in the meeting.


    Where and to the extent that 8x8 processes this personal data on our behalf and in accordance with our documented instructions (e.g. to deliver the service or to deliver, to identify and troubleshoot problems with the service), 8x8 merely acts as a processor, receiving your personal data. We process this personal data because it is necessary to provide you with the chatroom service that you requested (contractual necessity as a lawful basis for processing).

  3. International transfer

    We may transfer your personal data to a third country or international organisation (i.e. outside the EEA) when the Jitsi server by 8x8 is operated from there.

    Where that is the case, we will make sure that your personal data is either transferred to third countries that are deemed to be offering an “adequate” level of protection by the European Commission (a list of adequate third countries is available on the European Commission’s website), or alternatively, where your personal data is not sent to a country that provides an adequate level of protection, we will put in place appropriate safeguards with the entity receiving your personal data (e.g. the EU standard contractual clauses or binding corporate rules) to ensure that your personal data remains protected in accordance with Applicable Data Protection Law.

  4. Data subject rights

    In accordance with Applicable Data Protection Law you can exercise the following data protection rights:

    • You may request access to and obtain a copy of your personal data
    • You may also request that any personal data that is inaccurate or incomplete be rectified or completed
    • You may request that your personal data be erased
    • You may object to the processing of your personal data, ask us to restrict processing of your personal data or request portability of your personal data
    • You have the right to opt out of electronic marketing communications that we send you at any time and free of charge by clicking the “unsubscribe” button in the marketing emails we send you.
    • If we collect and process your personal data with your consent, you can withdraw your consent at any time. The withdrawal of your consent shall not affect the lawfulness of any processing based on your consent before its withdrawal.
    • You have the right to lodge a complaint with a supervisory authority.

    We may update this Privacy Notice from time to time to comply with business, legal or technical developments. When we update our Privacy Notice we will take appropriate measures to inform you, depending on the importance of the changes and the legal requirements in this respect.
